About CompenSage Inc
CompenSage Inc. (CompenSage) is a pay equity platform service located in Ontario, Canada with their head office in Toronto. CompenSage provides a pay equity platform and compensation consulting services in Ontario and Quebec. CompenSage works with Public and Private sector organizations as well as not for profit organizations. The CompenSage pay equity platform is a wholly owned web-based service designed to aid CompenSage clients in the development and maintenance of an Ontario Pay Equity Plan. The platform does not, under any circumstances guarantee compliance with Pay Equity legislation in Ontario and is solely designed to aid users in the process of developing and maintaining Pay Equity Plans. CompenSage provides consulting services to aid clients as well as recommends legal representation and assessment of any and all Pay Equity Plans developed in the CompenSage platform.
Introduction to Our Privacy Policy
This Privacy Policy describes how we collect, use, protect and share information about you that we obtain when you use our services, our websites or otherwise interact with us. If you are the subject of any personal data we may process, this policy also explains how we use your data and your rights.
This policy applies to our Services which include (i) CompenSage Pay Equity platform (ii) CompenSage Consulting Services (iii) components of third party services that aid us in providing our services that we have control over (for example, but not limited to, Freshdesk support tool, and Survey Monkey). Throughout this Privacy Policy we’ll refer to the CompenSage platform and any other products and services collectively as “Services.”

You are free to leverage this Privacy Policy in a similar manner under the Creative Commons Sharealike License after customizing for your own purposes.
General Goals and Policy on Data Collection
- We collect data for the purposes of improving user experience, understanding how our Services are being used, facilitate business arrangements (ie, billing and contact information) and ensuring our clients are receiving the best Services we can provide.
- We aim to ensure your data will never be shared with public or accessible to the public in any way, unless it is explicitly communicated to a client that their information will be used in this manner (for example, anonymized Salary Survey data may be collected and provided to another client in order to fulfill our services).
- Although CompenSage may have access to all the information provided by clients within our Services, we will not use that information for any purposes other than supporting you as a client. CompenSage will not and does not data mine any compensation related information provided within our Services for use with other clients or the public.
- CompenSage may use aggregated anonymized data related overall use of our services in marketing efforts, however no personal or individual client information will ever be shared.
- CompenSage will leverage third party services to aid in the analysis and collection of use data within our Services.
- CompenSage ensures that all information collected is in accordance with The Personal Information Protection and Electronic Documents Act (PIPEDA) in addition to other pertinent legislation.
Information We Collect
- Basic Account Information: Things like your name and contact information.
- Payment Information:If you engage in a business relationship with us, we may collect additional payment related information in order to collect fees, records of such transactions will be maintained for business and accounting purposes.
- Organization Compensation Information: Significant amounts of organizational compensation data can be uploaded, entered or provided to our consultants for use in our services in order to aid in the development of deliverables from our Services. This information can be, but is not limited to: Employee Payroll data, Organization Pay Bands, Employee Genders, Job Class Stereotype data, Organization and contact information, Job Evaluation data (scoring, notes, Job documentation).
- Credentials: To further aid in the information provided to our Services it may be beneficial (but not required) for the client to provide credentials to their applications or third-party services in order to ease the transfer or information.
- Communications: Any communications initiated by users through (but not limited to) emails, contact forms, support tickets will contain information that you have shared with us in order to fulfill our services.
Information We Automatically Collect
- Log Information: Like most online service providers, we collect information that web browsers, mobile devices, and servers typically make available, including the browser type, IP address, unique device identifiers, language preference, referring site, the date and time of access, operating system, and mobile network information. We collect log information when you use our Services — for example, when you access the CompenSage platform.
- Usage Information: We collect information about your usage of our Services. For example, we collect information about the actions that users perform in our platform — in other words, who did what and when such as when a user uploaded an employee payroll spreadsheet. We also collect information about what happens when you use our Services (e.g., page views, uploads, exports, support document searches), along with information about your device (e.g., screen size, name of cellular network, and mobile device manufacturer). We use this information to provide our Services to you, get insights on how people use our Services so we can improve our Services offering, and understand and make predictions about user retention.
- Location information: We may determine the approximate location of your device from your IP address. We collect and use this information to calculate how many people visit our Services from certain geographic regions.
- Information from cookies & other technologies: A cookie is a string of information that a website stores on a visitor’s computer, and that the visitor’s browser provides to the website each time the visitor returns. Pixel tags (also called web beacons) are small blocks of code placed on websites and emails. We use cookies and other technologies like pixel tags to help us identify and track visitors, usage, and access preferences for our Services.
Information We Collect from Other Services
In order to perform as a business, we may obtain information through other services in order to market or contact potential customers we have determined may benefit from our Services. We will take all means available to ensure this information is gathered in an appropriate and privacy compliant manner. Such information could be obtained through (but not limited to) other Business Organizations that we have worked with or performed speaking engagements with or online business networking applications.
How and Why We Use Information
Purposes for Using Information
We use information about you for the purposes listed below:
- To provide our Services. For example, to set up and maintain your account, create and maintain your Pay Equity plan, perform Job Evaluations, provide customer service, process payments, and verify user information.
- To ensure quality, maintain safety, and improve our Services. For example, by providing automatic upgrades and new versions of our Services. Or, for example, by monitoring and analyzing how users interact with our Services so we can create new features that we think our users will enjoy and that will help them create and manage the compensation information or make our Services easier to use.
- To market our Services and measure, gauge, and improve the effectiveness of our marketing. For example, by targeting our marketing messages to groups of our users (like those who have a particular plan with us or have been users for a certain length of time), advertising our Services, analyzing the results of our marketing campaigns (like how many people purchased after receiving a marketing message), and understanding and forecasting user retention.
- To protect our Services, our users, and the public. For example, by detecting security incidents; detecting and protecting against malicious, deceptive, fraudulent, or illegal activity; fighting spam; complying with our legal obligations; and protecting the rights and property of CompenSage and others.
- To fix problems with our Services. For example, by monitoring, debugging, repairing, and preventing issues.
- To communicate with you. For example, by emailing you to ask for your feedback, share tips for getting the most out of our Services or keep you up to date on CompenSage; or calling you to share offers and promotions that we think will be of interest to you. If you don’t want to hear from us, you can opt out of marketing communications at any time. (If you opt out, we’ll still send you important updates relating to your services and account).
Sharing Information
Independent Contractors: CompenSage may engage independent contractors to assist in the delivery of Services. Independent contractors are required to follow this Privacy Policy with regards to any client information that is shared with them and act as members of the CompenSage team when performing services.
Third Party Vendors: In order to perform our Services and optimize our business we may need to share specific information with third party vendors so they are able to perform their services for us. This can include, but is not limited to: Payment Services, Support Services, Survey Services, Analytics Services or Legal Services. No organizational compensation related information is shared with Third Party Vendors
- Legal and regulatory requirement: We may disclose information about you in response to a subpoena, court order, or other governmental request.
- Business transfer: In connection with any merger, sale of company assets, or acquisition of all or a portion of our business by another company, or in the unlikely event that CompenSage goes out of business or enters bankruptcy, user information would likely be one of the assets that is transferred or acquired by a third party. If any of these events were to happen, this Privacy Policy would continue to apply to your information and the party receiving your information may continue to use your information, but only consistent with this Privacy Policy.
- Aggregated or de-identified information: We may share information that has been aggregated or de-identified, so that it can no longer reasonably be used to identify you. For instance, we may publish aggregate statistics about the use of our Services.
- Published support requests: If you send us a request for assistance (for example, via a support email or one of our other feedback mechanisms), we reserve the right to publish that request in order to clarify or respond to your request, or to help us support other users
We will not sell, market or share your data for economic gain unless it is explicitly communicated to you, although we are compensation consulting firm, we do not sell Compensation Data collected from clients without their express knowledge.
Information Shared Publicly
If you choose to share information with regards to our Services publicly, it will be public information. For example, if you comment on our Blog posts, these comments will be public. As well, if you share support information within the support tool publicly, it will also be public.
Legal Basis for Collecting and Using Information
We will only use your personal data when the law allows. Most commonly, we will use your personal data in the following circumstances:
- The use is necessary to fulfill our services
- The use is necessary to comply with legal obligations
- We have legitimate interest in using your information in order to perform or improve our business and Services
- You have provided us with explicit consent
How Long We Keep Information
We generally discard information about you when it’s no longer needed for the purposes for which we collect and use it — described in the section above on How and Why We Use Information — and we’re not legally required to keep it.
If you cease to engage in our services, you can request your compensation related information is deleted. Although we do not use your compensation information for other purposes, it is a manual process to delete and remove your information which would kindly request you ask of us. Your usage information may be retained for a longer period as part of our analysis of our services.
Security
While no online or business service is 100% secure, we work very hard to protect information about you against unauthorized access, use, alteration, or destruction, and take reasonable measures to do so. We actively monitor our Services for potential vulnerabilities and attacks and engage several security measures to aid and assist. Choices
You have several choices available when it comes to information about you:
- Limit the information that you provide: If you have an account with us, you can choose not to provide the optional account information, profile information, and transaction and billing information. Please keep in mind that we may continue to retain your information after closing your account, as described in How Long We Keep Information above — for example, when that information is reasonably needed to comply with (or demonstrate our compliance with) legal obligations such as law enforcement requests, or reasonably needed for our legitimate business interests.
